Tax and advice

Bookkeeping is the floor

Keeping the records right is the minimum, not the service. What it buys you is a set of numbers current enough that someone can look ahead instead of only backwards.

Your side

Three things, and none of them are bookkeeping.

The whole point of handing this over is that you stop thinking about it. These three are the only things left on your side.

  • Photograph what comes in

A receipt, an invoice, a letter from the tax office. One photo in the app that comes with your portal, or a message on WhatsApp if that is where your phone already is. No scanning, no folders, no shoebox in December.

  • Let the bank do the rest

Your business account feeds in automatically, so the transactions are already there when the paperwork arrives.

  • Answer the occasional question

Now and then something needs your context. You get one question with the reason attached, not a spreadsheet to fill in.

Our side

What happens after you send it

Processed within two working days

That is the standard, not the best case. It is the reason your figures are worth looking at in March rather than being reconstructed the following January.

VAT filed every quarter

Registration, the returns, and the questions the tax office asks about them. If you trade across borders, the reverse charge and the EU listing come with it.

Your year closed properly

Annual accounts, corporate tax for a BV or your income tax return for an eenmanszaak, and the Chamber of Commerce filing.

Someone watching the calendar

Deadlines are tracked by the system rather than by whoever happens to remember. You hear from us before a date matters, not after.

However it suits you

Six ways to send us something.

Whatever you use, it ends up on the same file, with the same person, and gets processed the same way. You never have to remember which channel you used last time.

Photograph it

A receipt from your wallet, straight from your phone into the app that comes with your portal. Most people never touch paper again after week one.

Email it

Your administration has its own email address. Forward a supplier invoice and you are done. Plenty of clients go a step further and ask their suppliers to send invoices straight to that address, so nothing passes through their own inbox at all.

WhatsApp it

A photo or a PDF on +31 85 303 6530. Handy for the receipt you are holding right now.

Upload it in your portal

Drag a batch of files in at once from your computer. Useful when a month has piled up, or when you are moving a year of history over to us.

Let your bank do it

Your business account and card feed in automatically, so the transactions are already waiting for the paperwork.

Or send nothing at all: invoice from your portal

Write your sales invoices in your portal, in your own branding. They are booked the moment they go out, so there is nothing left to send us. Already invoicing somewhere else? We will look at whether it can feed in.

You will still get post. You just will not have to read it.

The Dutch tax office writes to you, at your own address, in Dutch. That is how it works here and it does not change when you hire us.

What changes is what happens next. Photograph the letter, send it over and we take it from there: we read it, tell you in plain English what it says, and where a reply is needed we write it. Most of the time the answer you get back is that nothing is required from you.

Short questions on working days.

Comparing fairly

Ask the others these questions too.

Bookkeeping quotes are hard to compare because what one firm includes, another bills separately. Take this list to every other quote you request. We have filled in our own answers already.

The questionWith us
Is the software included, or billed on top? Included
Are the annual accounts included, or quoted separately at year end? Included from twelve months
Is the corporate tax return included, and the Chamber of Commerce filing? Included
Is my income tax return included, and my partner’s? Which boxes are and are not? Boxes 1 and 2 included, box 3 separate
Is payroll for myself included, and what does a payslip cost for staff? Fixed per director, per payslip for staff
How quickly is what I send in actually processed? Two working days
Are advice hours included, or is every question billed hourly? Advice hours in every package
What is the hourly rate outside the package, and do you ask before starting? Never without your approval
Is there a one-off setup fee? Yes, and it is in the quote
What is the notice period? End of any month, one month

Watch the first one in particular. Software is regularly charged as a separate monthly line, which makes a quote cost more than it looked.

Questions we get a lot

Is tax advice included in the monthly fee?
Yes. Every package includes a number of advice hours per year. Only special situations fall outside that, and those are quoted before we start, so you are never surprised by an invoice.
Do I have to do any bookkeeping myself?
No. You photograph what comes in and we do the rest. There is nothing to categorise, reconcile or approve unless you want to.
What software do I need?
None of your own. You get your 100digital portal and the app that comes with it, both in English. If you already invoice in another system we will look at whether it can feed in.
How current will my figures be?
Documents are processed within two working days, so your position is a few days old rather than a few months. That is what makes a conversation about tax possible before the year is over.
I am months behind. Can you still take me on?
Usually yes. Catching up is quoted separately because it depends entirely on what is there, so we look first and tell you what it involves before you commit.
Can I cancel?
Yes, by email at the end of any month, with one month of notice. The one thing to know is that the annual accounts and the year-end returns are included on a subscription of at least twelve months, so leaving earlier means that work is quoted for the remaining part.
